A shared mailbox is a common working destination. A distribution list is a 1-to-many delivery mechanism. Neither automatically creates ownership, response times, permissions, secure handling or a complete audit trail.

Keep the public address separate from delivery and work: the address is what senders use; membership decides recipients; mailbox storage holds common mail; access and permissions decide who can work there.

Choose a shared mailbox for work that needs a common view

Imagine fictional Northbank Plumbing. Service requests arrive at service@northbankplumbing.example. The office coordinator and service manager both need to see the conversation, check what has already been sent and cover each other during site visits or leave.

A shared mailbox may fit because the team needs a common history, not merely 2 delivered copies. The business still has to decide who owns each request and how handover works. If assignment, message state, internal notes or collision warnings matter, check them; the words “shared mailbox” do not promise them.

Choose a distribution list for 1-to-many delivery

Now imagine fictional Redgum Electrical. Its dispatcher sends a morning notice to field-team@redgumelectrical.example, delivering a copy to the owner, dispatcher and 4 technicians. They do not need to work from 1 mailbox.

A distribution list can suit that job because membership is the main control. Confirm who can add or remove members, who may send, whether external senders are accepted, whether moderation applies and what happens when delivery to 1 member fails.

Test reply and reply-all too. A reply intended for the dispatcher could go to every member, depending on the list and app. A list does not automatically show whether anyone acted. For a customer-facing queue, separate copies are a poor substitute for common ownership and history.

Test the exact route before relying on it

Use harmless fictional messages from an unrelated external account and check:

  • the exact address accepts or rejects internal and external senders as intended;
  • every intended user or member receives access or delivery—and nobody else does;
  • spam, quarantine, moderation and failed-recipient behaviour;
  • normal reply and reply-all recipients;
  • the visible From and Reply-To on an outbound test;
  • send-as permissions, sent-item location and shared history where required;
  • membership, access and removal using a test user; and
  • any available audit or activity record.

Repeat the checks in the apps staff use. Do not use real customer names, job details, invoices, credentials, private attachments or regulated information. A successful test proves only that configuration at that time.
